Minutes for Sunday, March 1st, 2009

Opened up with the serenity prayer & 12 traditions.

Absent without notice: Joel, Josh, Kristina, Dean, Casey

With notice: Ali, Cory, Kathleen & Evan.

Josh read minutes from Feb 15th, & accepted.

Reports

Treasurer’s report, nothing new to finances, nothing has changed. Agreed upon for contributions to 5 boroughs but did not have 5 checks. Queens, Brooklyn, Manhattan for all $10. Check for Josh=$25.

Events report=Joel’s report via text: 2 people came to last events meeting. Planning second part of traditions workshop at midnight space. Will email everyone with specific dates. Going to Northside for business meeting to co-host dance.

Outreach report: Meg & Kathleen went to the prom. It was fun. Helped fill beverages.
Josh, Liz & Jason showed up.

Bid Book Chair: Passed around ICYPAA responsibility sheet with added #14 info.

Facilities: Hilton was $239 in price might be able to go down, didn’t want to negotiate until they were sure we won bid. Only other places are Marriott hotels, waiting for Brooklyn response. Looked at Pier 93 on west side, something like $30,000 dollars for whole weekend but just get empty space. Place requires renter to have decorator. Laura says we need at least 2 contracts with hotels. Talked that ICYPAA required finalized contracts for bid, Jason will look into Pier 93, Carnegie Hall and try for one contract with Brooklyn Marriott.

Web Report: Daniel put blurb on website on the 1st of March. Emailed Josh with directions on what to put up. 12th step call directions all up on site.

NERAASA report: Evan going with Rebecca on what’s going on, “it’s in the works”. Something about April.

SENY report: Hosting Manhattan share a day’s delegation thing. Dan needs a thousand dollars? Collaboration, he needs help the morning of setting up coffee & bagels. Setting up around 7:30 am for getting everything ready for SENY. $600 for lunch, $100 for bagels, $300 for miscellaneous. Rice, pasta, chicken & salad dish. Will see if SENY has any left over coffee. Daniel talking about catering company providing all of forks, etc. Daniel also threw up the idea of NYCPAA contributing $200 dollars for drinks. Danny talked about how he wanted to spend some money & having to have utensils in the morning for breakfast.

Intergroup report: Nothing new to report. Brought up answering phones at EACYPAA.
Evan volunteered to take commitment.

Corrections & Treatment report: Talked about Riker’s Island commitment. Tried to pick up treatment facilities commitment from intergroup. No action on treatment front. Danny asked about Arm’s Acres & what we could do with it. There was open interpretation on what could be done to develop relationship with them but hesitant not to duplicate any AA services. Apparently it has been brought up before & will be discussed in detail later.
As a committee it has been impossible in the past but more manageable with one person taking on commitment.

CPC/PI report: Josh will do doctor’s program this month, Daniel will call Dorothy to confirm it. Playing phone tag with Y person from Staten Island (Shaolin Land). AA meetings in YMCA but contact figured young kids could benefit more from actual contact with outside AA meetings. Invited contact to bring a bus out to EACYPAA & maybe giving them comps.

Graphics: nothing. Will make flyer

Literature: nothing, focusing more on ICPYAA bid skit.

Bid Skit: Cory & Alex will be working on it.

Prayer chair & Co-Chair, Everything Web, Co-Events, Co-Overall Chair, all available.

7th tradition going around. Got $7 dollars from 7th tradition.

New Business

Need to elect BCR for ICYPAA. BCR requirements: basically has to attend most ICYPAA committee meeting, participate in site selection with discussion only, not vote. Go around to other bid tables and gather information. Darren thought the entire thing was a “sham-a-rama.” According to ICYPAA website, BCR must have at least 2 years of continuous sobriety and background in service.

Jason, Darren & Danny available. Need 8 votes to win.

Darren officially elected as new BCR!

Manhattan share a day. They wanted NYCPAA to have young people’s meetings @ March 22nd, @ Irving. Josh said absolutely yes we would have people set up a table for that day. Two meetings that are needed to attend. Volunteer needs to be there on 8th & the 15th, 3:30-5:30 @ intergroup. Person needs to find out information about share-a-day stuff & ideally needs to coordinate speakers and commitment.

Danny volunteered to coordinate young people’s @ share-a-day.

Laura brought up ICYPAA requirement 8 @ meeting. Said if there is any problem with nomenclature she will take care of that later. Will send email to people to see if there are any new propositions for next business meeting.
