Minutes - April 5, 2009

I. Opening
- Opened with the Serenity Prayer.
- Reading of the Twelve Traditions.

II. Introductions / Roll Call
- Present: Laura, Kristina, Daniel, Jen, Ali, Alex, Hugh, Darren, Joel, Jason.
- Absent with notice: Josh S., Dan C., Andrew, Deen, Meg, Evan, Sloan, Jen, Kathleen.
- Absent without notice: Josh C., Casey.

III. Committee Chair Reports
Secretary
- Minutes from 03/01/09 and 03/15/09 reviewed and accepted.

Treasurer
- Writing a check $43 to Phil R. for website; will wait to send it until we find out whether it would be for the coming year or the previous year, since we’re planning on getting off his website.
- Should be $2,450.26 in account + $211.94 in petty cash.
- Treasurer’s report accepted.

Co-Chair
- Vacant

Events
- We’re waiting to hear back from the church about an upcoming event co-hosted with Northside; Mt. Carmel has been suggested instead because the bishop (or whatever) has been non-responsive.
- Everything is set up for the concepts thing; check requested for midnight space.

Graphics
- New flyer was made and sent out.

Web
- Daniel is beginning to create the guts of the layout for the new website.

SENY
- We were at Manhattan Share-a-day and the SENY Convention. Sweet!

Inter-Group
- Absent

C&TF
- Darren has been away; we have people taking meetings into Rikers.
- Jen (proxy): we still need more guys to volunteer to take meetings into Rikers.

CPC/PI
- Dorothy (contact for Doctors’ program) rotated out; David _ is new contact. We’re good right now, will contact them in May to see if they need people to talk to doctors.
- Daniel talked to the DCMC in Staten Island; talked to some professionals from the YMCA in Staten Island who showed up at NHALD about starting a YP meeting.

Bid Facilities
- Brooklyn Marriot: $179/night, banquet down to $70, must fill 75% of rooms
- Times Square Marriot: $209/night, trying to get them down to $199/night; still waiting on a new full contract.
- Jason brought up idea of extending Bid Facilities position term so that we don’t have someone new every year trying to figure out how to negotiate hotel contracts.

Bid Book
- Going well. Requirements 1, 3, 4, 6, 7 done; 2 & 5 in the works; still no feedback from the group on 8 – will pass it around today and take suggestions.
- Discussion of ideas for what else to include in the bid book or on bid table (e.g. proposed/projected budget).

Literature
- Alex wants to do something with the compilation of YP stories, but that’s on the backburner for now because of the ICYPAA skit.

Prayer
- Vacant.

IV. Announcements
- GS Conference April 26- May 1. People needed to help out entertaining delegates and their guests.
- Garden State YP Conference April 17-19.
- ICYPAA May 21-24.
- Vacant positions.

VI. Old Business
Concepts Workshop
- Alex getting key; we came up with a script; Dustina is chairing it; we have people picking up pizza and cupcakes(!).
ICYPAA
- Darren must resign from BCR position, so we must elect a new one. Jason elected new BCR by acclamation.
- Requirement 8
- Accepted!
- T-shirts and stickers
- Discussion.
- Bid skit
- Making progress; thinking of maybe ditching the video skit between the video montage and the rap, in order to save time and focus more on the latter two.
- Bid table/ bid session
- How can we get people from NYC to hang out at the bid table and come to the bid session?

VII. New Business

Transfer duties of storing NYCYPAA banner and outreach table materials from literature to outreach? (Involves bylaws change.) Will be discussed next week.
Found out from Phil about payment for website and getting off his server.

- The next NYCYPAA committee meeting will be on Sunday, April 19th @ 4:00pm.
