NYCYPAA MEETING
September 7th, 2008
4-6 PM
Opening
-Opened with the Serenity Prayer.
-Reading of the Twelve Traditions.
Introductions / Roll Call

Committee Chair Reports
Secretary (Sabrina)
-Minutes from 8/17/08 reviewed and accepted.
Treasurer (Kathleen)
- In Account: $ 2185.25
- Petty Cash: $ 105.25
- Paid $5 for flyers for BBQ
- $20 from t-shirt sales at Queens Share-A-Day
- $233 from Kickball Event
- We spent about $275 on the event.
Co-Chair (vacant)
Events (Meg)
-Field day event: went really well.
-A park rep notified us that for the next long weekend that it is only legal to have BBQ on the holiday (so not on Sundays)
-October 3rd we’re having a meeting and dance.
Outreach (Barrett absent)
-Nothing to report.
Bid Book and By-Laws (Laura)
-Nothing to report
-We have more by-laws to do before the next meeting at 3:00.
Bid Facilities (Daniel)
-Brooklyn Marriot: we’re trying to get a contract going with them again.
-42nd Street Hyatt
Web (Cory)
- Cory is going to talk and work with Laura to train her how to work on the website and figure out how to make the chair positions more... interesting...
SENY Liaison (Dustina absent)
-Queens-Share-A-Day: went well, quasi-4- young people’s meetings.
-We found out about more Young People’s Meetings in Queens
-We set up a table and had some positive response to being there.
-SENY Elections- Saturday September 13th
Intergroup Liaison (Jason)
-We have a phone commitment at Tim’s house on the 2nd Saturday of next month
-One Riker’s chair missing
-Doctor’s Program: Mandi filled in last month, Jason will be doing Monday and Wednesday this week

- Nothing to report.
Graphics (Erin)
- Flyers for the Fall Ball
Literature (Darren not here, Alex reports)
-wants to explore the idea of making a full compilation of all young people’s stories
7th Tradition
Announcements
-Vacant Chair & Co-Chair positions.
-NYCYPAA Committee Inventory on October 12th from 4-6 PM
-NYCYPAA Elections on Sunday, November 2nd at 4 PM
-EACYPAA Camp-Out on September 19-21st on Long Island
-Area 49 Convention Kick-Off Meeting on Saturday 20th at 2 PM (Elections)
Old Business
-Rescheduling Outreach Trip to the Bayside Group in Queens on September 25th
New Business
-Barrett’s Absences: Barrett has been missing a lot of meetings (probably a few months), he was warned, but still didn’t change his actions.
VOTE: Whether or not to relieve Barrett of his position --> Passed
Kristy is now the new Outreach Chair, with a Co-Chair Position vacant
-ACYPAA, called to see if we are willing to run a marathon meeting some time in March 12-15 --> Tabled until a later meeting
-We are planning to ask Staten Island if they are interested in us being of service at their Share-A-Day
-Fall Ball: We need to make $350 deposit at the space ASAP
-Formal dress attire (but not required)
-We have a DJ who just want to be of service, they have all of their own stuff, have 10 years of experience, they’re going to bring lights, speakers, going to get there at 5:00 to set up. We might tip them, just as a nice gesture and in the spirit of self-support.
-Still need sub-committee people

-Gary wants to be Co-Outreach Chair

-ICYPAA Afterthoughts, bid for next year
Five important things to emphasize this year:
1. Outreach
2. Successful Events
3. Service History (we haven’t thrown a service event in a long time)
4. Showing Community Unity (having a lot of people show up to ICYPAA)
5. Ability to function with many different aspects of the AA Service Structure
-We should work on getting more people involved in the bid. (Suggestions of Queens, Long Island, Upstate NY) This will also help with getting people to host ICYPAA if/when we get it. We should include a broader geographic region in our bid. We should formally ask these committees to jump on board with us and help us with future events, ICYPAA bid, ETC.
-We should compile a list of committees near us, write a draft letter and then return it to the committee for a vote. (Daniel has committed to it).
-Idea for NYC Convention afterthoughts
-It can be a possibility.
-It should be under the Events Chairs but not apart from NYCYPAA, and this way we can make Events Committee for the Convention
-Lodging would be a serious issue. Possibility of having a free-for-all. Just leave it to the person to fend for themselves. We can rent a high school for around $5000. We could possibly use a college, maybe dorm rooms.
-Possibility for a Retreat: benefits, flat rate for lodging and meals.
-Not doing the hotels make it more simple.
-We could ask to help SENY Host an Assembly and do the Assembly in the morning and then having meetings in the afternoon, followed by food, dance, etc.
