NYCYPAA MEETING
October 5, 2008
4:00-5:30 PM
I. Opening
-Opened with the Serenity Prayer.
-Reading of the Twelve Traditions.
II. Introductions / Roll Call
-Present: Josh, Andrew, Meg, Courtney, Daniel, Kathleen, Laura, Kristina, Darren, Cory, Alex.
-Absent with notice: Josh has list
-Absent without notice: Was not told.
III. Committee Chair Reports
a. Secretary (Courtney, filled in for Sabrina)
-Minutes from 9/21/08 reviewed and accepted.
b. Treasurer (Kathleen)
- Kathleen made a deposit in August but forgot to include it in the total when giving past treasury reports (have more money than we thought)
- Paid $400 to St. Andrews (need to get $100 refund)
- $209.56 check cut to Meg to reimburse for dance beverages
- $29.72 paid out of petty cash to Kathleen for dance decorations
- Made $565 at the door of dance
- $10 in NYCYPAA t-shirt sales
- $238.60 made on beverages (ton of beverages left)
- Total in treasury=$1,486.83
- Total that needs to still be deposited=$1,139.60
- Total in petty cash=$116.55
- Treasurer’s report accepted
c. Co-Chair (Andrew)
-Will be composing a list of all the “’PAA’s”
d. Events (Meg)
-Handled dance setbacks well as a group
-3 cases of water, 1 case of regular red bull, and some sugar-free red bull left over
-Need to make a guideline for how to handle setting up dances and getting a space secured to avoid same problem next time
e. Outreach (Kristy and Gary both absent)
-Nothing to report.
f. Bid Book (Laura)
-Same status it has been
-Still working by-laws (we’re on part 3)
g. Bid Facilities (Daniel)
-Went to Brooklyn Mariott and talked to sales guy, discussed prices
-Needs specific numbers from LA 2007 of how many single, double, triple, etc. rooms were needed
-In good shape overall
h. Web (Cory)
-Lauren S. resigned.
-Going to wean off server
-Revamp websit
-Cory needs September minutes e-mailed to him
i. SENY Liaison (Dustina absent)
-Sent e-mail out about Manhattan share day
j. Intergroup Liaison (Jason)
-Phones at Jason’s next Saturday at 10 p.m.
k. Prayer (Sam absent)
-Nothing to report.
l. Graphics (Erin absent, Carly resigned)
-Made fliers for field day
m. Literature (Darren and Alex)
-Received e-mail from GSO saying they received our video submissions
-Have OK to send video to treatment centers
-ICYPAA people offended by our report
-New project: book compiling young people in AA’s stories, have OK to make this book, will be announced at future young people’s meetings
V. 7th Tradition--$13.25
VI. Announcements
-Elections November 2nd
-Staten Island Share Day October 11th, talk to Dustina about ride
-Outreach to Bayside meeting postponed to October 30th
-Laura went to Manhattan Share Day Planning Meeting, they tabled their elections, they will now be held October 19th at Intergroup at 2 p.m.
-SENY convention meeting October 18th in the Bronx
-Daniel received quarterly report from GSO (mentions young people video project)
VII. Old Business
-Dance:
Location too obscure, no parking, should not use space again, need guidelines for securing space, some people left angry
Could have harmed relationship between the church and the group that has meetings there, came off “half-assed” to the church, are we coasting as group? Are we organized enough to handle ICYPAA?
Need to contact Our Lady of Pompei to have a dance in Dec. or Jan.
-Daniel/Jason 12th Step Plan Committee:
Passed out the outline
Stepping on Intergroup’s toes? They have failed to be helpful to us with outreach before, though. Will probably need another chair position to head this up-need to amend by-laws to include this
This needs to have a singular purpose—do not want to look like a “young people’s intergroup”
Cost of answering service needs to be researched
Problem with dance money funding this program was discussed
Absence of old-school one on one 12th step work
Who do we need to inform? Are we filling a niche?
-By-Laws:
Discussed #11—do we need an ICYPAA fund? Need to set a prudent reserve (needs to say in by-laws that we have a prudent reserve). What would be the appropriate amount? Laura suggested $300—Darren said that GSO saves 9 months to a year of expenses—every time we threw a large event we would probably be dipping into the prudent reserve—need separate bank account for ICYPAA if we get bid
Suggested $800 prudent reserve plus 25% of remainder
Need to make bullet #2 more specific—are we in a position to assign service commitments to host committee? Should NYCYPAA go dormant for a year if we get ICYPAA?
Agreed to hold off on #11 and vote on amendments 1-10. #1-10 were accepted
___Committee inventory next week and we need fliers for elections
VIII. New Business
-Possible events meeting Friday to plan Traditions workshop/ice cream social
