NYCYPAA MEETING
July 20, 2008
4-6 PM


I. Opening
-Opened with the Serenity Prayer.
-Reading of the Twelve Traditions.

III. Introductions / Roll Call

IV. Committee Chair Reports
a. Secretary (Sabrina)
-Minutes from 6/15/08 reviewed and accepted.
-Josh will make another copy of the mailbox key and give it to Sabrina next meeting
-Sabrina will start sending minutes to (advisory@icypaa.org)
b. Treasurer (Kathleen)
- In Account: $2028.72
- Petty Cash: $361.83
- Transactions: Laura: $469.25 for T-shirts, $135.90 for 500 Stickers, $123.85 House Party stuff (Receipts from Darren pending), $520.37 Laura for bid-books, $20 for bid-skit expenses
- Profit at $130 from HP
- T-Shirts 24 sold (money still pending)

d. Events (Meg)
-ICYPAA House Party: went well.
-We inspired a whole Queens crew to drive to ICYPAA in their own van
-Planning for another dance in November or September
-Proposal for a benefit for Corrections and Treatment Facilities, possibly with a jailhouse theme, Daniel proposed getting people to the event from treatment center (young people)
-Daniel and Sabrina will look into contact treatment facilities and outpatient clinics respectively
e. Outreach (VACANT- Daniel)
-New Young People’s meeting in Bayside, Queens (Thursdays at 8:30), we need a field trip
f. Bid Book (Laura)
-For the next bid-book chair: bid books must be submitted 10 days before ICYPAA, if you’re missing a requirement or there are typos it will not be accepted as a full bid. It’s suggested that committees submit bids 30 days before.
-Laura already started on next year’s bid book. Requirement 3 is finished.
-She is going to donate one bid book to the SENY archives.
-By-Laws: Status is the same, she wants to schedule a subcommittee meeting, motions will be proposed and brought back to the main committee meeting
-We talked about scheduling these meetings, there will one at 3:00 on the first and third Sundays (August 3 is the first one)
g. Bid Facilities (Daniel)
-We tried to get revisions on contracts, weren’t well-accepted.
-Learned a lot about what constitutes a commitment from a hotel which we had to run around and get while we were at ICYPAA. The contract has to say that they will hold the rooms until a proposed date (after ICYPAA)
-We got grilled the whole weekend about our hotel prices, but at the votes it was actually fine
-There are good possibilities for 2010, there is a new person on NY Tourism Board who is much more helpful than the previous person
-Talked about doing the big meeting in Central Park
h. Web (Cory absent, Josh)
- Nothing to report. Minutes are up to date on the website.
i. SENY Liaison (Dustina absent)
-Nothing to report
j. Intergroup Liaison (Jason)
-Phones at Sabrina’s went well, played GTA IV and were of service at the SAME TIME.
-Riker’s is going well, looking for people to fill in

VI. Announcements
-Vacant Chair & Co-Chair positions.
-July 26th: HVYPAA (Hudson Valley)
-July 26th: SoHo Dance
-July 26th: New York State Convention

VII. New Business

a. Queens Share-Day, September 6th
• We have a table, we need speakers, we need someone to cover SENY-liason for this event while Dustina is gone
• Josh will send out an email (will cover Dustina)
b. Sending No Sleep ‘Til Brooklyn Skit from ICYPAA
• Someone wanted to send it to the Outreach List
• We could put it on the website, but there might copyright issues
• We are choosing not to do anything about it
c. NY Young People’s Conference (Kristy)
• Halloween 2009 as proposed date to prepare us for hosting ICYPAA
• We could have a 5-borough speaker night
• We could also invite Long Island and Upstate NY
• The one challenge: in order to get meeting space for free or low-cost (20 grand/day) we would have to book a lot of rooms, like 500 rooms/night
• We can raise money with events
• If we do this it needs to be really well thought-out so we don’t end up losing money
• Another idea for a small-scale event: General Theological Seminary, the owner is an AA delegate
• We would get new people to be involved with the city convention so that the NYCYPAA Regulars don’t get burned out
VIII. Old Business
a. ICYPAA
-Overall positive experience
-A lot of people came up to us saying how much they appreciate us, and how much we are doing for YPAA
-For the next two years, BCRs no longer vote, BCRs will still have a voice in deliberations
-We made good relations with other bidding cities
-Possibly co-hosting with Atlanta for a couple of events
-We would like to find a way to get more people involved in the bid-process without making them come to NYCYPAA meetings
-Make the bid table the “cool place to hang out” for next year, also bring more people
-For next year’s bid we have to be mindful of the international convention in 2010 in San Antonio b. Committee Inventory (New business for next meeting)

IX. Closing
-Serenity Prayer.
-The next NYCYPAA meeting will be held on Sunday, August 3rd @ 4:00pm.
