NYCYPAA Meeting
02/03/08 4PM-6PM

I. Opening.
A. Meeting opened with Serenity Prayer.
B. Daniel read the Twelve Traditions.

II. Introductions and Roll Call:

A. Secretary’s Report (Jared)
-As a result of the last meeting’s minutes being lost—Jared recapped with the agenda from last meeting. Minutes accepted. Po Box Key will be taken Care of
B. Treasurer’s Report (Darren)
-$2543.59
-Few outstanding checks.
-Check that was cashedNY Intergroup
-When other checks go through balance will be: $2473.59
-Cash on hand: $166.33
-Nycypaa.org will be paid in March ($43)
-Money for event still hasn’t been paid back (no one has returned receipts)
-Treasurer’s Position is open
-Budget for decorations?

D. Events Chair (Meg)
-Refreshments still no chair.
-Potluck still hasn’t been prepared for.
E. Outreach (Catya)
-Young people’s meeting list—having more people going to outreach meeting
-Fellowship has been a good venue for outreach.
-Trip to meeting yesterday… Megan and Catya didn’t get to make it because of traffic. But Darren and Josh did.
-Request to answer outreach list
-Use people that don’t want to come to NYCYPAA meetings to do outreach and events service
-Josh Bed Stuy meeting, successful outreach trip that may have encouraged people to come meeting.
-There are kids in Virginia talking about us. Wanting to do a date-auction.
F. Bid-Package (No one in the position)
-Daniel: passed around our list of accomplishments—we already have another page since after LA ICYPAA
G. Bid-Facilities (Daniel)
-Going to have a meeting in about two weeks.
-Going to start talking to hotels.
-Oklahoma is somewhat expensive this year, which might help us to get the bid for next year.
H. Web (Corey)
-Web: figured out how to make modifications
-Graphics: Buttload of business cards! (Passed out during mtg)
-Who should hold them?

-Phones are going to be on the 9th at Brian’s @ 10 PM

-New-member packets.

IV. Announcements.
- Manhattan Share-A-Day: Feb. 17th. NYCYPAA Chairing one of the meetings. Also we want to chair the beginner’s meeting (2:00).
- Heartbreaker’s Kareoke: Feb. 15th.
- NERASSA: President’s Day Weekend
- Vacant Chair and Co-Chair Positions
- Saturday, Feb. 16th 11:00 AM Planning Meeting for NYS Convention (End of July) Young People’s Meeting Planned for the morning of the Convention

V. Old-Business
A.YPAA Video Submission
-Response from the NERASSA Chair (rejecting our request to show the video)
-We are going to send our more recent edits to GSO for the Feb. 1st deadline (Irene said don’t worry about sending them, they haven’t received enough other submissions they won’t be showing it to the trustees until July)
-What should we do with them? Darren proposed that there is still enough footage for a third edit. Dance footage still hasn’t been looked at.
-Darren: We should consider doing something with the edits we have—contact treatment facilities and send video to them (possibly have them use it to see whether or not it is effective.)
-Darren: We can also put it on the website.
-Daniel: In support of sending the video on a trial run to treatment facilities.
-Jared: In support of sending it to treatment facilities as well.
-Darren: Expenses for sending it out will be low.
-Darren: Might be risky putting it on the website
-Laura: Hold-off on the website, and start with the trial runs first.
-Laura: response to the video report seemed to be positive
-Motion: To send off copies of the video (DVD Format) to treatment facilities nationwide
Discussion: Have a survey attached? With local treatment facilities we could do presentations. Educational consultants.
MOTION PASSES.
B. ICYPAA Discussion
-Still need to send a copy of “No Sleep Til’ Brooklyn” song to archivist
-Bid Facilities: getting contract from Westchester Marriot and neighboring hotel. Some dissension and approval on both sides of the argument.
Weschester (we have relationship with them). New Year’s (WACYPAA coup). Westchester will probably cause our attendance rate to go down. Part of the appeal is having it actually IN the city—people might feel jipped if it’s not at least relatively close to Manhattan. Would retract from people who live in the city—they will be less likely to go to a convention outside of the city. Will be continued to discussed in the Bid-Facilites Mtg.
C. NERASSA
-Bus: 15 Passenger Van with 13 people on it. Three comped rooms. We’re leaving around 10 Am on Friday. Coming back around 4 on Sunday. Registration is $20, minus food.
D. Should we move the meeting?
-We should look into it before we dive into discussing it.
-If we move to a place that charges rent.  Someone should volunteer to head up a search committee?
- Problems arranged more around the time of the meeting not the location.
-People should email Brian if they have ideas. (He volunteered to head up a search committee)
-Sending out a survey.
-The really judgmental argument: some people don’t give a **EXPLETIVE DELETED** about a doing service… the time and the place won’t matter.

B. The next regular NYCYPAA meeting will be held on Sunday, February 17th, 2008 @ 4:00pm.
