NYCYPAA Meeting
11/18/07 4PM-6PM

I. Opening
A. Meeting opened with Serenity Prayer.
B. Dustina read the Twelve Traditions.

II. Introductions and Roll Call:
A. Attendance.
- Present: Laura, Janusz, Dustina, Josh, Darren, Tim, Erin, Sabrina, Tiffany, Daniel, Meg.
- Absent with notice: Catya, Brian, Cory.
- Absent without notice: Jared and Kristy.

III. Reports:
A. Secretary (Brian absent – Sabrina proxies)
- 11/04/07 and 10/21/07 minutes are read and accepted.

B. Treasurer (Darren)
- Dance Total income at the door: $2,117.
- Total Attendance: 262.
- Expenses: $400 to DJ, under $300 for refreshments.
- Total expenses including hall rental: $1700
- Made $1300 after all expenses.
- In the bank: $504.94.

C. Co-Chair (Josh)
- Nothing to report.

D. Events (Daniel)
- Last night was a success. Everyone had a good time.
- We should start planning for the New Year, February.
- Video Room during dance: Greenscreen video was shot, 2 ½ hours of footage shot.
- Lots of great footage was shot, the crowd was diverse and the video project yielded some great stuff that may be used for special interest groups.

E. Outreach (Jared)
- Absent, working on updating a list of meetings to outreach.

F. Bid Package (Catya)
- Absent, still needs to send out a Bid Book.

G. Bid Facilities (Fran)
- Fran has resigned.

H. Web (Tim)
- Dance and election flyers are no longer up.
- 50th ICYPAA link is up.
- Past Dance Flyers are on the “Minutes” page.

I. SENY Liaison (Mandi)
- Mandi has resigned.

J. Intergroup (Tiffany)
- Josh reports that phones commitment was great. Fran volunteered her place for next month.

K. Rikers (Sabrina)
- Volunteers need two forms of ID to get into the facility.
- Still need a chair for one week.
- Prison systems fluctuate depending on what’s going on inside, has nothing to do with us.

L. Graphics (Cory)
- Absent, nothing to report.

M. Literature (Erin)
- Nothing to report.

IV. Announcements
- Next big event is committee inventory, Sunday, December 9th.
- Everyone should fill out a committee inventory feedback form and submit it to Laura or email it directly to Billy.
- All feedback needs to be submitted by December 2nd.
- NYS Convention meeting January 5th, 2008 at 11am at SENY Office. Delegates will figure out what they’re going to have for young people and gays.
- Area chair called about showing our latest video at their Area Assembly on December 8th.
- Co-Chair Vacancies, plus Intergroup and Bid Package chair.
- Tiffany will be shaking it at CSCYPAA.

V. Old Business
A. Video Submissions
- Irene K. just rotated onto PI. Uploads must be under 7 minutes or under 100mb. The footage we’ve shot is nowhere within those limitations. They’re expecting videos to be as finished as possible. For the hard 11/30 deadline, they want something as finished as possible, with content as sharply edited as possible. We can continue to submit things after the 11/30.
- COPYRIGHT: Signing the contract means signing ownership over to AA World Services. Didn’t feel good about assigning them full use and copyright for the video to them. We ought to be able to show the video to our Area and use it for other AA related purposes. The verbiage of the contract is negotiable.
- How do we manage the difference between the footage and the edit? What if we use some of the footage we submit for something else?
- Irene K. says that if we show the video locally there shouldn’t be a problem, but if we do, we should put off signing the contract.
- If we publicly announce the screening of any videos, we’re in trouble. If not, we’re operating within the bounds of the law.
- We should submit footage on 11/30 with additional signed agreement that states our terms.
- Examples for what we’d want to use our video for: SENY ASSEMBLIES, DISTRICT MEETINGS, YOUNG PEOPLE’S MEETINGS, LOCAL HOSPITALS AND INSTITUTIONS, BID PRESENTATIONS FOR ICYPAA, NERAASA.
- We should include these concerns in our footnote.
- With help editing, we can get a good video submitted by the 30th.
- $80 on videotapes. Most other stuff will be used in Darren’s video life and won’t be expensed.

MOTION: We reimburse Darren for video expenses.
Motion passed.

VI. New Business
A. Queens Outreach
- Discussion postponed until 1st Sunday of December.

B. SENY
- Do we want to throw a Christmas party for SENY during their Assembly?
- Lots of stuff going on that day. YES is throwing a Pot Luck. We should invite them to that.

C. Manhattan Share a Day
- Manhattan Share A Day is in need of a Signs Chair. The position calls for just that, someone to put up signs throughout the day.
- Do we want to share this commitment? We should think about it.

D. NERAASA
- NERAASA is going on in ATLANTIC CITY during the last weekend of February, 2/22-2/24.
- $527 for the van and related expenses last year. Will be less money to go to Atlantic City.
- Discussion will continue during the next meeting.

VII. Closing
- Meeting Closed.
- The Next NYCYPAA meeting will be held on Sunday, December 2nd, 2007 @ 4:00pm.
