Minutes-September 16, 2007

NYCYPAA Meeting
September 16, 2007, 4PM-6PM

I. Meeting opened with Serenity Prayer, Mandi read of the Twelve Traditions

II. Intro and Roll Call:
- Attendance: Laura, Daniel, Brian, Josh, Mandi, Jared, Tim, Kathleen, Janusz, Sabrina, Darren, Erin, Kristy.
- Absent with notice: Fran, Catya

III. Reports:
A. SECRETARY (Brian)
- 09/09/07 minutes are read and accepted.

B. TREASURER (Darren)
- $1702.02 in treasury not including random expenses.
- $75 in T Shirt income.
- Possible finances report will be given from ICYPAA Advisory.

C. CO-CHAIR (Josh)
- Queens Share-A-Day was lovely. That is all.

D. EVENTS (Daniel)
- Contract is on the way in for November 17th event.
- Subcommittee meeting this Thursday to discuss the November 17th event.

- MOTION: Allot $1500 to the next dance.
- Motion passes: 9 in favor, with one person abstaining.
- MOTION PASSES.

E. OUTREACH (VACANT – Laura proxies)
- Queens Share-A-Day was a success, lots of kids out there who don’t know about young people’s meetings.
- Two groups in Queens have a lot of young people, we should head out there to support them.
- Catya spoke at 9am, to no one. Laura spoke at 11am. Old-timers meeting was noteworthy. Most speakers went over, so meeting ran over, but it was still a quality meeting. One member present has as many as 55 years of sobriety. Darren spoke at 4pm meeting on Young People’s videos and literature. Josh spoke at 5pm. NYCYPAA was well received.

F. BID PACKAGE (Darren)
- SENY archives guy asked for a copy of the bid book. We will donate a copy to them.

G .BID FACILITIES (Darren)
- Darren spoke to folks at the Marriot: Explained to them that the site and date selection was questionable and price wasn’t low enough.
- Darren explained to them that ICYPAA thought if New Year’s Eve was our best price, then we’re not doing our job.
- We need to find a cheap summer weekend.
- Price increase: The Brooklyn hotel was brand new when we were first bidding.

H. WEB (Tim)
- Everything up to date.

I. INTERGROUP (Tiffany)
- Phone answering commitment went well.

J. CORRECTIONS (Sabrina)
- Lost a chair, gained a chair. Has been outreaching. It is happening.
- Not much concern about the credibility of the chairs we’re sending to Ryker’s, Sabrina knows them, can account for them and is sending them to the prison to hold meetings.
- Seven of the eight people are accounted for regarding these meetings.
- The other ward in Rikers is a general ward that was floating without a meeting that we adopted. In theory, there is another juvenile ward. Intergroup inventory is coming soon – we might consider how we relate to them in that regard.
- We might consider picking up a female ward in addition to our currently held meetings.

K. GRAPHICS (Cory)
- Is working on an elections flyer and will get started on a dance flyer once we choose a theme.

L. LITERATURE (Erin)
- Daniel just handed off some more materials for the archive.

M. PRAYER (Kristy)
- All is well.

IV. Announcements
- Kickoff meeting for NYS Convention is on September 22nd at 1pm at SENY office.
- NYCYPAA General Elections will be Sunday, November 4th. We should be outreaching them.
- NCCYPAA is next weekend.
- Guidelines for Young People’s video project are in. We have them and they will be passed around.

V. OLD BUSINESS
A. New York State Convention
- Gives us host committee experience, we should come with big numbers.

B. ICYPAA
- International Outreach:
- One of our number is going to France in a couple of days. He will do some research. Berlin holds a conference on Labor Day weekend every year.
- It might be of note to our next outreach chair to send flyers to international AA organizations.
- There are lots of chat boards and email strings out in Europe consisting of people who do not meet face to face. We could outreach the World Wide Web AA community and get them to ICYPAA and meet and join us.
- LA and Hawaii did a great job of outreaching people on the Pacific Rim.
- It wouldn’t be a huge expense to do a mailing to the meetings.
- One member believes that only outreaching the conference is not necessarily spreading the message of AA. Instead of just sending ICYPAA flyers, lets just try to communicate in general with International YPAA.
- We could outreach our events and develop basic relationships with people.
- Conference theme for next year is communication oriented.
- We shouldn’t necessarily be promoting ICYPAA, i.e.: going to other countries and flyering.
- We should add a bulletin board with the specific purpose of having international interaction.
- We should continue discussion, but not come to a decision without an outreach chair.

C. SENY Bulletin
- SENY bulletin board is up and running. They require registration to view and post in the majority of the board.
- Lets continue discussion here.

VI. NEW BUSINESS
A. Queens Outreach
- Visit "Utopia Group" on Friday the 21st in Queens to support young people. Hopefully Cory will have flyers for the elections to bring on Friday.

B. Fifth Sunday Fellowship
- Brian proposes game night at his place.
- Kristy and Erin propose a game night at their place.

MOTION: Host a game night at Kristy and Erin’s.
MOTION PASSED UNANIMOUSLY.

C. PI Video Submissions
- Darren to head up the Video Submission, has lights, camera, sound recorder, etc.
- We could set up a time to shoot.
- We could film Fifth Sunday fellowship, have a separate confessional room and show that we still have fun, etc.
- There are ways around not shooting full faces that can be creative.
- Next week, we have the room from 2-6pm next week. Next Sunday at 2pm, Darren will bring his video equipment and shoot.

D. Outreach Chair
- Jared volunteers to take Outreach Chair position. He is voted in.

VI. Closing
- Meeting Closed. The Next NYCYPAA meeting will be held on Sunday, October 7th, 2007.
