NYCYPAA Meeting
September 9, 2007 4PM-6PM
I. Meeting opened with Serenity Prayer, Sabrina read of the Twelve Traditions
II. Intro and Roll Call:
- Attendance: Laura, Daniel, Brian, Josh, Erin, David, Tiffany, Aaron, Janusz, Cory, Darren, Pat, Allie, Tim, Catya.
- Absent with notice: Fran, Mandi, Kristy.
III. Reports:
A. SECRETARY - Brian
- 08/26/07 minutes are read and accepted.
B. TREASURER - Darren
- $1611.07 in treasury not including random expenses.
- Went $75 over for bid books, unforeseen rush charges.
- Reimbursement for expenditures beyond $20 are up for discussion in new business here.
- Donations were submitted for the bid skit. Should they be discussed as business and submitted to the treasurer for reporting?
- Donations solicited on behalf of NYCYPAA are inappropriate. Personal requests for donations are appropriate.
- Ad-hoc committee chairs are up for reimbursement.
C. CO-CHAIR - Josh
- All good.
D. EVENTS - Daniel
- November 17th is when we will hold our next multi-city dance.
E. BID BOOK - Catya
- Bid book was passed around.
F. BID FACILITIES - Darren
- We didn’t get ICYPAA.
G. WEB - Tim
- Nothing to report - didn't receive minutes.
H. SENY -Laura (on behalf of Mandi)
- Assembly is happening in Staten Island.
I. INTERGROUP - Tiffany
- Phone answering commitment went well.
J. RIKERS - Sabrina
- Still unclear what protocol we should be following when sending members over to Rikers for meetings.
K. GRAPHICS - Cory
- Will start working on next flyer. Should it be elections or event?
IV. Announcements
A. Queens Share-A-Day is next Saturday. A sign up sheet is passed around for people willing to take speaking commitments.
B. Kickoff meeting for NYS Convention is on September 22, 1pm at the SENY Office.
C. NYCYPAA General elections are Sunday, November 4, 4 PM.
V - OLD BUSINESS
A. ICYPAA
- Just under 4000 in attendance. We got positive feedback.
- Hotel price issue was not as big an issue as we though they would be.
- If we could focus more on where people will be saving money by coming to New York, we might get more sway with folks.
- It came down to the two cities who had been bidding the longest when deciding where the next ICYPAA would go. Lots of other cities were qualified.
- A suggestion was made to us in deliberations that we do more international outreach, specifically to Europe. Catya thinks we should be spearheading this.
- Advisory did say that New York will have the conference, one way or the other.
- One member thinks it strange
- While we didn’t get the bid, one member thinks we should be involved with host committees in our area to show that we can do this type of service.
- One member interjects that we may have had lots of folks on stage for our bid, but many of those people aren’t on our committee, doing service.
- When advisory came to us with questions, some of us were ill prepared to answer because not enough of us are doing work.
- One member agrees that we’re not ready to host. However, if we’d gotten it, we would have had an enormous amount of energy coming toward us to help.
- We need to outreach to a bigger pool of people to help us.
- Past advisory gave Darren suggestions about how to improve our hotel contract. He had a very negative viewpoint on our prices and dates.
- Hotels are looking for people to come to their hotels holiday weekends. ICYPAA has historically taken a holiday weekend and guaranteed them business. New York doesn’t have this kind of market. Our holiday weekends are more expensive because people want to come to New York. Date selection is key for hotels. We need to figure out what New York’s dead dates are and hit hotels up for them.
- We have proposals from Brooklyn Marriot saying Labor day: $189 a night and New Year’s, $169.
- We lost something with our hotel contracts because both of our best rates are holiday weekends.
- Viviana and Darren did beg the hotels for their cheapest holidays and we were given Labor Day and New Year’s Eve.
- Lots of folks brought up regional issues in the deliberations, southeast had gotten ICYPAA for the past few years and the Northeast hasn’t had one. Boston had issues with their hotels so they imploded. Ditto Maryland.
- Possibility of getting people from Eastern US or Northeastern US to have an East Coast YPAA leadership summit. The West has this immense sense of unity, whereas the East is dying, in terms of their area conference committees.
- One member doesn’t believe a conference for 4000 people in a single hotel in New York. Might be a little bit more practical to draw on other kids from the surrounding NY areas and have a conference there.
- Daniel: Was a lot of fun but a lot of work as BCR. Thinks the deliberations were pointless, the rest of the folks didn’t buy it.
- We were last and most energetic of the presentations. We did really well last year, surprisingly. We were up there as contenders, instead of newcomers.
- The northeast does need an ICYPAA, the last one was in DC in 1998.
- Oklahoma, Georgia and NYCYPAA were the contenders.
- We do need more people to back us, as Tiffany said.
- David was involved in CSCYPAA, things have gotten lackluster. Is there an in-state requirement that might keep us from joining forces with CSCYPAA and helping out.
- Janusz: A lot of advisory members said to contact them personally. We should continuously be informing them of our progress and such.
- We should have an annual inventory.
- We should also have an official position for someone who could research LACYPAA’s minutes to track how they changed and morphed after getting ICYPAA.
- Queens Share A Day – meetings were assigned to speakers.
- A suggestion was made to send out bid books electronically a few weeks in advance. This motion was voted down.
- Why did Hawaii get as many votes as they did, with the most expensive hotel contracts and low numbers at their last ICYPAA? They sent their bid books electronically.
- Young people’s story project should be resurrected. We should put together a book to bring to our Youth corrections programs.
- We should revisit our PI video project.
- We should work with other clusters of young people to recapture some more positive energy and enthusiasm in new ways. Bringing Georgia in, collaborating with AA groups, other cities. We need to find new ways to unite Young People.
- EACYPAA is crumbling, should we revitalize it? We should get Georgia and people from Baltimore here to discuss whether a united East Coast is necessary, viable and to discuss what is viable.
- Towards the end of September, Sabrina will be working with Edward, P.I. chair to major schools in NYC. He will need help, should we do this? Why are we waiting two months prior to ICYPAA to discuss ICYPAA business?
- We elected ICYPAA specific chairs last November and they stayed on with us throughout the year, until they burned out because they were either uninformed or inactive for so long. Bid book proceedings don’t start until the bid gets pulled together and bid facilities chairs were working throughout the year.
- We should continue to do all the service we’re doing so that when we show up to ICYPAA, we strengthen our credentials.
- The relationship we had with our hotels this year was stronger than in years past. We know which hotels can host us with room, which with convention space and which are moot. The Bid Facilities chair for next year will be armed with a lot more knowledge.
- We have a good template for a bid book so that the next person who comes into the bid book position has most of his work done for him.
- Theme for General Service Conference next year is Communication. Physical travel to Georgia, Boston, etc… it’s hard to mobilize New Yorkers. The idea of creating some sort of online forum for bid cities or service committees that we can communicate with during the year would be pretty helpful.
- Georgia’s bid book has the stuff that’s most similar to what we do. A long list of services they provided that we could learn from and possibly incorporate into what we’re doing.
- If we could carry the message to people who aren’t sober yet, then we can strengthen.
- An unprecedented gathering of info is going to be released 30 days after ICYPAA from advisory. The rest of the info will have to come from LACYPAA. The young people’s summit has been held three times this year, at NERF, NERAASA, ICYPAA and EACYPAA.
- There are lots of Young People’s Summits happen in small numbers. This is the sort of thing we can throw, as opposed to holding a summit under the umbrella of a larger event.
