NYCYPAA Meeting
August 26, 2007 4PM-6PM

I. Meeting opened with Serenity Prayer, Josh read the Twelve Traditions

II. Intro and Roll Call:
- Attendance: Laura, Daniel, Darren, Brian, Josh, Mandi, Erin, Janusz, Danielle, Kristy, Catya, John, Tim, Cory, Shelly and Catya.
- Absent with notice: Fran, Tiffany, Sabrina.

III. Reports:
A. SECRETARY (Brian)
- 08/19/07 minutes are read and accepted.

B. TREASURER (Darren)
- $2121.57 in treasury. No activity.

C.EVENTS (Daniel)
- Elections will take place in November. Daniel looking into another dance at Jan Hus.

D. BID FACILITIES (Darren and Daniel)
- Hotel conract negotiations. We are hosed. Final contract from Brooklyn Bridge Marriot is $189. They’re looking into a cheaper weekend, but we are not to get hopes up.
- Hotel Pennsylvania – “Summer tends to be slower for hotels but business has been brisk.”
- Marriot Marquis is second contract.
- Carnival and Royal Caribbean were contacted about docking a ship for us. Contracts were ranging between $700K and $2.5 million.
- Hilton said 2009 was a possibility.
- Until some other economic factor changes, the hotel market is shot.
- Marriot Marquis gave a rate of $139 a month over 10 years ago (1993).
- Embassy Suites does have suites.
- Shelly: “Perhaps we can spread out our hotels.”
- Our prices are good for New York standards.
- Perhaps we can use “General Service’s Dollar-in-the-basket” stance on this in our favor.
- If we explain too much of what we’ve done, they’ll think we’re idiots or that negotiating down is a futile task.
- We should include that the hotels are flexible, that we’ve done a lot of work.

E. WEB (Tim)
- All minutes are in.

F. RIKERS (Sabrina)
- Sabrina is on top of the commitments.

G. LITERATURE (Erin):
- Banners need to be passed to someone who will be going to ICYPAA.

H. GRAPHICS (Cory):
- Cory presents the 50th ICYPAA Pre-Registration Flyer.

IV. Announcements
A. ICYPAA NEXT WEEKEND!

B. Kickoff meeting for NYS Convention is on September 22nd at 1pm.

C. Vacant Chair positions.

V. OLD BUSINESS
A. Hospitality Suite
- Foam Chachkis are $2 a piece.
- A mural is being put together.
- Apple stickers.
- If there is a hobby crafts store in your area, look into it.

B. Marathon Meeting
- 2PM-3PM Friday is our meeting slot.

C. T shirts
- T Shirts to be painted throughout the week.

- MOTION - to sell t-shirts at ICYPAA
- 10 in favor, 1 abstention.
- MOTION PASSES.

D. Pre-Registration
- Pre-Registration flyer needs to be presented at meeting.
- What will the registration fee pay for? Everything.

- MOTION: Pre Registration at $20
- 3 in favor, 2 opposed, 4 abstaining.
- MOTION FAILS.

- MOTION: Pre Registration at $10
- 4 in favor, 6 opposed, no one abstaining.
- MOTION FAILS.

- MOTION: Pre Registration at $25.
- 7 in favor, 2 opposed, 1 abstention.
- MOTION PASSES.

E. NYCYPAA Elections
- Should we postpone or cancel our next meeting, falls on September 2nd?

- MOTION: Have a brief meeting on September 9th,.
- 10 in favor, 1 abstaining.
- MOTION PASSES.

- Flyer should be together for November 4th elections.

F. Bid Book Printing.
- Estimated cost of $400 for printing of bid book, including 11 color pages in the bid book for 30 bid books.

- MOTION: $450 allocated to bid book expenses.
- MOTION PASSED UNANIMOUSLY.

G. Bid Skit
- Start out with a beat that would get pulses going, everyone on stage spread out on stage.
- Roll call, performance and then Q&A.
- Reason for bidding before bid skit.
- The video from Brooklyn Marriot could be used for our bid skit.

- MOTION: Use the video in some capacity in the bid skit.
- 3 in favor, 4 opposed, 4 abstaining.
- MOTION FAILS.

H. A PowerPoint exists for the video.
- NYCYPAA logo during the Q&A.
- Maryland used 8 people on their skit, asked all the Maryland folks up there to support.
- Bidding cities would have a call and response sessions.

I. MTA CONDOMS
- Group conscience shoots it down.
