NYCYPAA MEETING
July 15, 2007, 4pm - 6pm
I. Meeting opened with Serenity Prayer, Daniel S. read Twelve Traditions.
II. Intro and Roll call
- Present: Erin, Daniel S., Tim, Laura, Josh, Darren, Tiffany, Rakhel. Sabrina.
- Absent with notice: Brook, Vivianna, Mandi, Fran (late),
- Absent w/o notice: Catya, Cory, Kristy.
III. Reports
A. SECRETARY - Brian
- Minutes from 7/1/07 meeting were read and accepted.
B. TREASURER - Darren
- $863.87: total in bank.
- $1030 sent to Jan Hus, half of rent.
- Any two of four signers need to show up at bank to finalize bank account.
C. CO-CHAIR - Josh
- Nothing to report.
D. EVENTS - Daniel
- Big meeting turnout Thursday for SoHo event.
- Cleanup chair from NYCYPAA is needed. Kristy volunteered.
- Tiffany to go to Party City to purchase decorations. Birthday theme decided on.
- Motion throughout the space will be a little more fluid, we’ll be using a different space for the dance than the meeting.
- Renting fans and vehicle needs to be discussed. Lots to transport.
- Michael from Grapevine should be invited and set up a table.
- Dance tickets.
- Young in 164 has volunteered to do hospitality. Sabrina representing. We will help them with some money.
- Lots of food should be ordered.
- Fran volunteers to do the driving. Gas money would be figured into the budget.
E. OUTREACH - Rakhel
- Has flyers.
- Outer borough people should be outreaching as well.
- Visited GSO two weeks ago. The woman rotating into P.I. is a friend of hers. We should get all feedback to her before they convene to discuss guidelines.
F. BID PACKAGE - Catya
- Has looked over last year’s bid book and what has been done thus far. Some editing needs to be done. Will meet with Cory to discuss Bid Book Graphics. Lots of nagging to commence.
G. BID FACILITIES - Viviana: Absent.
- Viviana had a death in the family, won’t be here.
- Darren: Spoke to the main Sheraton guy. The Sheraton won’t give us a proposal. They were mean, they didn’t want to submit paperwork.
- The LA rep who sealed the deal will be in contact with us to give pointers. Hotel situation not hopeful. We’ll have to be creative.
H. WEB- Tim
- All is up to date.
I. SENY - Mandi (Absent)
- Nothing to report.
J. INTERGROUP - Tiffany
- Phones commitment at Carlos’ place was a success. We need a space for next month.
- Daniel R. has moved and is not going to be able to continue Ryker’s Commitment. Is this our commitment or the commitment of individuals carrying it out?
K. GRAPHICS - Cory (Absent)
- Still working on the Spanish translation of flyer.
L. LITERATURE - Erin
- Nothing to Report.
M. PRAYER - Kristy

IV. Announcements
A. ICYPAA AUGUST 30th- June 2ND. Book it now!!!
- Janusz: There should be a wireless station at the dance to sell airline tickets for ICYPAA.
- Darren: It is not our business or responsibility to be doing this. It violates traditions.
- Fran: Ditto.
B. French Fries:
- There will be French fries available at this meeting.
C. NYC Informational Workshop- August 3-5.
- We might consider renting a van and chaperoning the NYC GSO.
D. Vacant Chair and Co-Chair positions.
- Some co-chairs positions are still vacant.
V. Old Business
A. BCR
- BCR includes participating in Open Forum discussion, getting acquainted with all bids, votes for the winning bid city.
- Daniel, Fran, Darren- All submitted service resumes.
- 14 voting.
- Daniel wins with 10 votes.
B. Hospitality Suite.
- We’re only doing an hour from 5 - 6.
- Super New York-y thing might be nice. Subway maps, Broadway Flyers,
- MOTION: New York State of Mind should be our theme.
- Discussion: We should keep it simple. It’s only one hour.
- 12 in favor
- 2 opposed
- 1 abstention
- Minority Opinion: We should pick one thing specifically about New York and be as specific as possible.
- MOTION PASSES.
C. ICYPAA Marathon Meeting
- We should host a meeting. 1-2pm Friday or 7am Sunday.
- We will chair whichever meeting they need us to.
D. July Event:
- $75 from Y.I.164 for food.
- If Fran donates her van services, we’ll have some wiggle room, financially.
- SoHo usually hires a beverage company to handle beverages. Are we going to do that or are we going to disregard their inclination to buy twice what we’re planning on buying?
- We should err on the side of safety and not overbuy.
- Fran: Are we on the same page with them?
- Darren: Yes. We are.
- The dance begins 15 minutes after meeting ends. We’ll need someone downstairs to check stamps. Security/Ushering people have it covered.
- To get tickets, go to front entrance. Once you’ve paid, you can enter either way.
- As many people as possible from Never Had A Legal Drink will send members to the events meeting.
- Legal treasurer: “The money is not there”. A pot luck would be best.
- Do we want to give a 7th tradition to Legal for our Business meetings?
- Daniel: Seems responsible.
- Fran: It would be great if we just put the collection into Legal’s 7th tradition basket.
- MOTION: We take a 7th tradition at the events meetings.
- Friendly Amendment: That we take a 7th tradition at all events meetings at Never Had A Legal Drink’s space.
- Discussion: This is the first time we’ve ever discussed collecting 7th tradition for subcommittee meetings. If that’s what we want to do, then we should do it at all meetings.
- There is no moral imperative to the Traditions. We’re not harming the relationship to the church.
- 3 For

- 3 Abstaining.
-Minority Opinion: Slow to move group, they don’t want to endorse us, we’re outsiders to them even though we go there. We’ve been using the space for a while and not paying them.
- MOTION FAILS.
- Refreshment budget: What do we want to do if they’re firm on the $1300 budget and we want to stick to $500 budget?
- Darren: If they insist on buying $1300 worth of beverages, they should be the ones to pay that and we’ll resolve it after.
- One of the differences in our population is that we’re young’ns and they’re grown. Hehe.
- Solution: The return policy has been changed with beverage company. No more returns. We can’t afford to lose a lot of money on this thing. Discuss it with Derrick.
- We should stick to putting in $300 for beverages.
- Wherever is cheapest is where we should buy our bevvies from. Metropolitan Beer and Soda in the Bronx turned out to be cheapest.
- Derrick, Daniel and Darren will figure this out.
- Cookies and chips ONLY.
- We’ll pass around a list at LEGAL for donations. No drinks. Dry foods. Woo.
- Sabrina will be at Legal to coordinate food stuff.
- Is there any room in budget for this stuff?
- SoHo and NYCYPAA should split cost of paper goods.
- If people don’t bring food, there won’t be food.
- The SoHo group’s way to handle cleanup is to send people who can’t afford a ticket to the Clean-Up Mama (Kristy).
VI. New Business
A. Fifth Sunday Fellowship
- We need to figure out what’s going to happen for fifth Sunday fellowship.
- Discuss bid skit discussion on Sunday 7-29.
B. CPC at St. Luke’s.
- They said there are some great pamphlets, what works works.
C. Agenda for next time

- NYS info workshop
