NYCYPAA MEETING
August 5, 2007, 4pm - 6pm

I. Meeting opened with Serenity Prayer, Reading of the Twelve Traditions

II. Intro and Roll Call:
- Absent with notice: Brian, Brook, Darren, Josh, Rakhel, Fran, Tiffany, Cory, Kristy
- Attendance: Laura, Daniel, Catya, Erin, Janusz, Erin, Mandi, Tim

III. Reports:
A. Secretary - Laura (fill-in for Brian)
- No Minutes were available for 7/15 but Laura recalled her memory from the last meeting

B. TREASURER - Darren
- $2,173.93 is the balance
- Daniel gave the breakdown from the dance
- Bank account issue still pending

C. EVENTS - Daniel
- Dance was great
- Soho was happy, money was split up
- They want to work with us for the New Years’ Dance
- Relationship with Jan Hus is in tact
- Karaoke Killed the Cat was asked to do a Halloween event, they have limited availability though
- Discussion of the music played

D. OUTREACH - Rakhel
- No report
- The advisory council voted to outreach the 49th ICYPAA as opposed to ICYPAA49

E. BID BOOK - Catya
- Coming along
- Daniel S. in contact with Mayor’s office
- Should we get various committees to write letters in support of us?
- Bid Book subcommittee meeting
- Thursday, August 9th at 7pm
- Discussion of how many bid books we need

F. BID FACILITIES - Viviana
- Vivianna e-mailed a letter of resignation
- Hotels- Darren had lunch with a rep from the Brooklyn Marriot
- Right now we have a contract at 189 with a $30,000 catering charge
- Said we could go down to 169
- Darren wants to go down to 139
- There is the possibility of reducing the catering to $15,000
- Looking at hotels with room capacity and finding alternate space for main meeting
- The LA guy put a call into all NYC Starwood hotels to say we are good business

G. WEB - Tim
- Hasn’t gotten minutes from Brian for 7/15

H. SENY - Mandi
- No report
- Laura and Daniel went to NYSIW, SENY had good attendance. The young people’s panel was late so they couldn’t stay

B. We only have one more meeting until ICYPAA

- MOTION We meet every week before ICYPAA

C. NYCYPAA is speaking at a meeting in Fort Green tomorrow (August 6th) at 8pm

D. ICYPAA t-shirts
- We want to look unified on stage
- The cost for 100 t-shirts is $731 which we will sell at $8 a piece
- ? of what sizes to get
- Discussion of last years t-shirts
- Can we recreate them?
- Suggestion of $1000 for t-shirts
- Discussion of waiting until next week to make a decision
- Reluctance at suggestion of spray painting t-shirts

E. Do we need a budget for the bid skit?
- Material- in LA cardboard is $70 for buildings
- $60 for paint
- Yoda mask $26
- Do we want to change yoda to the statue of liberty?
- Yes

F. Bid Business
- Do we want a flier for the bid?
- Do we want signs for seating at the state countdown
- How do we get on and off stage?
- We need someone to cover the nerdy person, Darren hasn’t responded

G. What part of requirement #8 do we need?

H. Woman asked Erin to speak on the radio and tell her story and talk about ICYPAA on Saturday at 730 pm. Catya and Janusz volunteer

I. Rikers Island Commitment
- Daniel R. left for Iowa
- We should call current chairs to find out the state of the commitment
- Do we turn this over to intergroup?
