NYCYPAA Minutes
03/04/07: 4-6pm


I. Opened with the Serenity Prayer, 12 traditions

II. Introductions/Roll Call
-Attendance: Laura, Darren, Kristy, Daniel, Daniel, Eric, Viviana, Erin,
Mandi, Brian, Janusz.
-Absent with notice: Rakhel, Barrett, Catya, Brandon, Fran, Brianna, Tiffany.
-Absent without notice: Brooke, Garrett.

III. Reports

A) Secretary
-Minutes from 02/18/07 meeting read and accepted.

B) Treasurer
-We currently have $2919.25 in the treasury.
-Received Receipts from NERAASA:
- 415.91 Van rental; 81.75 Gas; 31.75 tolls.
- Total expense: ($527.01)
- $755.00 ($100 deposit) – Jan Hus Karaoke
- $1637.24. total before today’s 7th Tradition.

C) Events
- NERAASA: good times.
- $77.01 Over Budget
- Van definitely useful.
- KARAOKE: Signed contract and deposited it with payment and deposit.
- There is a flyer.
- Speakers from Northern Virginia, Southern New Jersey and one other location TBA.
- Equipment options:
a. download possible songs on someone’s computer.
b. rent karaoke machine $450.00
c. Giroux: has friends that have a machine and rent the machine. ~ $300.
d. Playstation 2: American Idol game.

Competition prizes:
- Grapevine subscription.
- ICYPAA registration.
JAN HUS will drop fee if we can commit to doing four events a year.

D) Outreach
-Outreaching the events of the city and the area.

E) YPAA
- NERAASA Report:
a. First ever YP roundtable. Billy Noonan (past chair of ICYPAA) was moderator. About 30 people Friday night.
b. The only section for roundtables was 10:30pm-Midnight.
c. Some felt that the young people’s roundtable took away from other round-tables. Folks who were needed at other roundtables were invited to leave and attend those.
d. “A separation was started.” Had the YP roundtable not been scheduled, most of the YP’s in attendance wouldn’t have come at all.

G) Bid Facilities
-$169 per room in Brooklyn.
-He the following figures:
-How many room nights will be needed
-Catering needs
-And free reign of the entire joint.
-Need an alternate space! Fran and Viviana are working on dividing and conquering the list they have.
- We need to be able to set a room block.
- We also need to get in numbers for COFFEE.

H) SENY
-DELEGATE’S DAY OF SHARING. QUESTIONAIRE IS OUT.
- Sign up sheet for S-A-D Hospitality commitment passed.
-Next phone commitment 3/10. Need a host.

J) Intergroup
- Phone commitment 3/10
- Possibility of hosting in J.C.

K) GRAPHICS
- Tickets are printed.
- $77. Given to Cory for tickets.

L) Literature
- Garrett resigned from literature co-chair.
- Approached by The Link.


7th Tradition Break.

IV. Outreach Break
- Announcements re: Manhattan Share A Day.
- SENY Convention: MANY FOOD OPTIONS.
- Vacant c-chairs.

V. Old Business
A. ICYPAA LETTER
- Incorporated new less critical attitude.
- Help FUTURE BIDDING CITIES understand the details of ICYPAA’S business and social responsibilities.
- Openness and transparency between council and attendees.
- Demonstrate how young alcoholics can be responsible at all levels of service
- Proposed changes:
a) help potential host cities understand the business and social responsibilities ICYPAA upholds.
b) continue to foster the atmosphere of openness and transparency that the advisory council has worked to cultivate in the past 5 years.
MOTION:
Send revised letter as is.
5 – in favor.
1 – opposed.
2 – abstentions.
VI. New Business
a. Absences:
- BARRETT- NOT BEEN FLAKY.
9 IN FAVOR OF KEEPING BARRETT
0 OPPOSED
1 ABSTENTIONS
- BRIANNA- Not been in attendance. Work and school conflicts.
- Question of having someone who will do the work but not show up to meetings versus having someone who will do both.
- IN SCHOOL FULL TIME AND WORK FULL TIME.
- Cory votes to take up the load for a little while.
MOTION: To relieve Brianna of her position.
9- in favor
1- opposed.
Motion carries.
- Daniel and Cory will be in touch re: splitting web duties.
- Howard willing to help (web designer for M S-A-D)
b. Invite Billy and Richie to ICYPAA
- Delegate too busy to come anyway, but we should invite him nonetheless. This is why past and future delegates.
MOTION:
Request that our delegate be invited as well.
All in favor.
c. ALCOHOLIC IDOL
- MOTION: To go ahead with Giroux’s system and if we don’t hear back,
we rent our own equipment and do it ourselves.
Can we ask if we can have MC duties.
9 in favor.
2 abstentions
d. The Link.
- Do we submit a letter in the link?
Wussup with NYCYPAA?
- All letters are from elected committee chair positions.
- We CAN send a letter in.
- MOTION: Write and submit a letter to the link.
- Friendly amendment: Write a letter to the link.
- Friendly amendment – The Chair write and draft a monthly letter to the link every month.
- Rejected.
- MOTION: Laura will write a letter to The Link and submit it, with no commitment for a monthly check-in.
- 9 IN FAVOR
- 2 OPPOSED.
e. 46th Street Clubhouse
- The clubhouse was robbed this week. For next meeting, discuss donating some funds after we have a figure of what they’ve lost.
