NYCYPAA MEETING
February 4th, 2007
Meeting opened with Serenity Prayer.

Events Report:
o The main objective is to find spaces.
o Jan Hus: still trying to work out with the seniors and theatre company to figure out re-rating the room.
o Possible events include Roller Disco Party, Pre-ICYPAA blowout event.

o Van is reserved.
OUTREACH
o Williamsburg meeting with high young people turn out needs support.
YPAA Liaison
o Catya gave a breakdown of the various events happening throughout the region.
Bid Process
o Brandon got bid book from last year.
Bid Facilities
o Hotel possibilities are limited. Viviana is continuing to look.

o Minutes from 1/7 meeting are up.
SENY Report
o Area assembly met Jan. 20th.
Intergroup
o Phone commitment went well.
o Intergroup needs captain for 10am-2pm.
o Michael gave a PI orientation @ Intergroup.
o Institutions commitments have been filled.

Business Cards were distributed.

BUSINESS:
o It was decided that we proceed with a bank account with the address currently on the letterhead and that secretary would keep looking for PO Boxes.
o Prayer was called.
o Motion was passed that Catya would contact other YPAA liaisons re: visitor connection program.
o Another writer’s workshop was scheduled.
o Motion was passed for Darren to draft a letter to the ICYPAA Advisory Council.
o Bid Skits ideas for February 4th.

Treasurer’s Report:
o Drafted a letter stating our objective for bank account.

EVENTS
o Events meeting held on 1/25
o Mostly discussion about spaces.
o Erin, Brian, Barrett and Catya have called.
o Jan Hus: “The 140 person limit no longer applicable. We can have as many people as we want for future events.”
o Events committee down for another event. To be discussed in new business.
OUTREACH
o Announcements about SENY, MSAD and NERAASA.
o SENY Convention Fliers with ICYPAA convention fliers available.
YPAA LIAISON
o Drafted a letter re: visitor connection.
BID PROCESS
o Nothing to report.
BID FACILITIES
o Fran has been caught up with Michael Gallo and Sally Tutera of NYC and Co.
TOURISM BOARD
o Pushback for NYU dorms. We won’t be using their dorms.
o Fran- Contacts at Pratt, other colleges. She’s on it.
o Meeting with Michael Gallo this week to discuss a better price at Marquis based on actual info at the most recent ICYPAA.
o Jared will be sending info for Brooklyn Marriot and other hotels.
SENY
o We’re handling hospitality, we have to discuss.
INTERGROUP
o P.I. Workshops still happening.
o Phone commitment at Brian’s house.
o Ryker’s still going on.
GRAPHICS
o Couldn’t find how to track an old order and re-order business cards. Still working on it.

o 2/18 Writing workshop.

MOTION: Hold off on getting bank account until mailbox at USPS secured.

NEW BUSINESS
o HOSPITALITY AT MANHATTAN SHARE-A-DAY
Contact last year’s chair for any more suggestions re: report.
o At least 3 other people needed for planning and set up pre Share-A-Day
o Coffee, Bagels, etc.
Shift Breakdown: 7AM-11AM and 11AM-2:30PM. 3PM-5PM: big meeting, kitchen closed off, no hospitality room.
FEEDBACK FROM LAST YEAR:
o Rework coffee system so that it comes faster.
o Needed more volunteers.
o We can start making purchases a week in advance.
o Coffee grounds, filters, funds will be made available.
o Start first set of urns with half capacity.
o Volunteers serve coffee from urns to reduce spillage.
NEW EVENTS
Possible Events: Meeting/Karaoke & Meeting/Dance
MEETING/KARAOKE EVENT
o Possible dates: Saturday: 3/17 & 3/24
o Meeting 9-10. Karaoke 10-1:30am
o Estimated cost: $1,330
o Admission:$8 in advance
o $10 at door.
o MC?
o To break even:167 people at 8 bucks (not taking into account making money off refreshments.)
Possible formats premises:
o “High-stakes Karaoke” with proceeds to ICYPAA BID BOOKS,
o SENY or GSO.
o “Alcoholic Idol?
MEETING AND DANCE
o Same as last time, with other cities participating. Similar in cost.
o Meeting: 9pm-10:30pm.
o Dance: 11pm-2:30am.

o 4/14 – Phones Commitment

CONTINGENT UPON SENY’S GREEN LIGHT, THAT WE RENT A VAN FOR AN UNDETERMINED PERIOD FOR THE CONVENTION TO DRIVE PEOPLE BACK AND FORTH BETWEEN METRO NORTH AND SENY CONVENTION SITE.

BID SKITS IDEAS:
o A music video as an opener or closer to our bid.
o A live skit working in “No sleep ‘til Brooklyn.”
o “Sabotage” skit, linking traditions and Sabotage.
o All lyrics to center around ICYPAA’s bid to NYCYPAA.
o Possibly forego the skit and have a panel discussion about what we’re doing.
o There will be more time to discuss the bid every time we meet.
