NYCYPAA MEETING MINUTES
January 21, 2007

MEETING OPENED WITH SERENITY PRAYER

Catya read 12 Traditions.

Secretary’s Report given:

Received a lecture from Michael: Public Info chair for NY Intergroup
o PI doesn’t entail giving qualifications, just info about what AA thinks alcohol is and isn’t, and what AA’s objectives are.
o Orientations for volunteers given twice monthly, qualified volunteers have a year of sobriety and/or have completed the 12 steps.
No Treasurer’s report.
Outreach report.
o Fliers were circulated at NECYPAA.
Events report:
o JanHus is working re-rating their room.
o We are looking into other spaces in the meantime.
o An events meeting was held January 11th.
YPAA report
o Lots of love from NYC at NECYPAA.
Nothing from Bid Package chair.
Bid Facilities:
o Viviana is talking with NYC and Co. about spaces.
o She set off the giggle bomb at the mention of Brooklyn being part of NYC proper.
SENY Report:
o NYCYPAA is responsible for hospitality room.
o Coffee and snacks, not meals.
INTERGROUP:
o Phone answering commitment was held in Astor Place.
o Fourth and fifth Tuesday of the month need to be filled (Ryker’s Commitment).
GRAPHICS:
o Cory was in Belize, no report.

PO BOX DISCUSSION
o A place was found in the East Village, the group agreed that we wanted to figure out how long the place has been in business. Also, one last inquiry should be made before ruling out USPS.


NERAASA:
o There will be a bus. We’ll keep announcements limited to young AA groups. If the bus isn’t filled by the next meeting, we will open it up.

Motion Passed: We will rent a bus for NERAASA

WEB REPORT:
o Brianna will be recalibrating the NYCYPAA website to streamline it, include GSO’s for Rockland and Nassau counties’ contact info and try to get the minutes as up to date as possible.

o The 8 requirements for the bid process were explained deliciously by Daniel.

We ran out of time, held onto new business.

Events Report:
o The main objective is to find spaces.
o Jan Hus: still trying to work out with the seniors and theatre company to figure out rerating the room.

Possible events discussed include:
o Pre icypaa blowout event July 4th.
o Participation in Not a glum lot.
o Roller disco party.

NERAASA
o Van is reserved for NERAASA. Estimated time of departure 9am. Returning Sunday evening.
o Vans packed with 14 people, plus luggage. Five spaces filled.
o Air mattresses are welcome in Laura and Daniel’s room. Quad at Marriot Courtyard for $109 a night.

Outreach Report
o A meeting in Williamsburg with new young people. Needs young’ns with good solid sobriety.

Catya YPAA Liaison Report
o Garden State Young People are having a dance.
o April 20th Stillwater campout.
o Dance in Edison NJ, February 17th.
o Outreach this dance and figure out how we can get out there.

Bid Process Report
o Brandon has been given the new bid book.

Bid Facilities Report
o NYC & CO: Our hotel requirements are limited. All the hotels they contacted last year are the same as the ones contacted this year.
o Dorms at NYU, maybe.

Web Report
o Minutes from last meeting are up.
o The recalibrating of the site is still in progress.

SENY Report
o Area assembly met Jan. 20th. Alternate delegate spoke highly of NYCYPAA writing workshop. Daniel gave a thrilling web report.

Intergroup Report
o Phones were answered at Olga and Jason’s place.
o SUNDAYS from 10am-2pm, Intergroup needs a captain.
o Michael gave presentation at PI orientation.
o The remaining Institutions commitments for January have been filled.

Graphics Report
o Business cards for all going without.

Literature Report
o Another writing workshop to be discussed in new business.

Prayer Report
o All’s well. There will be a prayer.

New Business


POSSIBLE VISITOR CONTACT PROGRAM
o Perhaps we can organize a welcoming committee with other committees in the country or region for lifts to meetings, contacts, etc.
o Any YPAA website link to forums.
o A list of contact people for certain areas with one man or woman heading up the process.
o Email an anonymous officer of NYCYPAA with any info regarding a visitor.
o Should we proceed to collect email contacts for people in other cities, held by Catya, for the sake of getting in touch with people from other cities when traveling and vice versa.

Motion: Catya to send out an email to other YPAA’s asking that it is okay to contact them if one of our people goes out to visit their city and vice versa. This is for the sake of connecting out of towners with meetings, people to meet up with at meetings, fellowship, etc.

WRITING WORKSHOP MEETING
o Started out for us to write our personal stories for pamphlet or grapevine or another collection of young people’s stories, to give each other time to give and receive feedback.
o Next workshop to take place on Sunday, February 18th: 2pm

SENY Convention Planning Meeting
o ROOM AVAILABLE EVERY SUNDAY
o SCHEDULE FOR 2PM. Date TBD

Letter to ICYPAA Advisory Council

The advisory council is elected by host committees. Three people from each host committee from the past five years’ ICYPAA’s make up the council.
Problem:
o If you want ICYPAA to change anything, you have no way to get your topic on the table at their business meetings.
o Agendas are private.
o Meetings are private.
o No representation with ICYPAA, puts the people who serve ICYPAA into much more difficult positions than AA.
o No moment at which people can put their two cents in for how ICYPAA might be run.
o There is no open business meeting where any member of AA can bring a business item.
o Is it wise to shake things up with our bid coming up?

Solution?:
o Write a letter requesting that they include a session in which what they specifically do is disclosed, a report on what they’ve done in the last year and make a commitment to answer any questions. Modeled on the regional forum, session in which our GSO reports on what they’ve done.

o Asking ICYPAA this would establish a way of keeping us informed and having changes made.

They don’t formally commit to a Question and Answer format of ICYPAA this year.

Whatever letter written should be brought back to the committee.

MOTION: Darren to draft a letter and bring it to the committee before sending it to ICYPAA.

SPEAKER EXCHANGE

o Perhaps some sort of speaker exchange within the young people’s community.
o We wouldn’t participate directly because we’re not a group.
o Groups that pick their own speakers don’t do speaker exchange.

o Rakhel to send an email for volunteers of people to come to Williamsburg.
