NYCYPAA Meeting
December 3, 2006

Laura opened the meeting with a Serenity Prayer.

Introductions were made. In attendance:

Minutes from Nov. 11 meeting were unavailable for distribution, but Laura recapped:
➢ Approx. $3k in our treasury
➢ Approx. 300 people attended our dance!! From NYC and all over the Northeast
➢ PO Box – Brian intended to investigate for next time
➢ Thank You note/card to NYU group for their contribution
➢ Adding a YPAA forum on SENY website
➢ C&C program – can we specifically request young inmates
➢ Preliminary bid info & start to get the ball rolling on ICYPAA business
➢ Tiffany elected Intergroup Rep
➢ Carol elected Co-Outreach Chair
➢ Story writing workshop on Sunday, Dec. 10, 2pm
➢ ACCEPTED

Treasurer’s Report - Darren
➢ $2,966.00 in Treasury
➢ Rent will be paid (- $116.00)
➢ 7th Tradition (+$ 10.25)
➢ Payment to Phil for website hosting (- $86.00)
➢ BALANCE: $2,774.25
➢ Bank Account
o Need a letter on our letterhead stating what we are
o PO Box is a MUST for this
➢ Need some sort of audit of our total income for all of 2005 to see what our tax situation is

Events - Daniel
➢ Laura has been point of contact for Jan Hus thus far
➢ Daniel (incoming Events Chair) will be in contact with Jan Hus from now on (along with Barrett, Co-Events)
➢ Would like to see a NYCYPAA event every 3 months, become a regular thing to have dances at the Jan Hus space
➢ If Jan Hus has available space in February will be propsing a dance there with a theme to be determined

Outreach - Jared
➢ Daniel, Catya, Laura did LOTS of outreach for our dance!
➢ Has registrations for ICYPAA in LA
➢ Registration contest is a great motivator to get as many people from New York to go and stand with us

YPAA Liason – Daniel
➢ Catya will be taking over this duty as Co-Chair
➢ Maryland (DC & VA) cancelled their dance and re-scheduled their event for this Saturday (Dec. 10th)
➢ Would be great if lots of NY people could show up for them

Bid Package / Facilities
➢ Starting info-gathering from prev. Chairs
➢ Idea to go to the city, Travel & Tourism, to work with us on getting better hotel rates and packages
➢ See about using ALL local options
➢ Bid Book examined and seen how it can be better

Web – Brianna (by proxy)
➢ Has taken down our old flyers
➢ Updated the Calendar
➢ Waiting on previous Minutes
➢ See about getting the SENY convention flyer on our website

SENY
➢ There was a SENY Convention Planning Committee meeting earlier in the day
➢ Would be GREAT if we could outreach this as a “stealth” YP convention – get everyone who asks about NYCYPAA’s convention up there

INTERGROUP – Viviana
➢ We have a location for Phones on Saturday – Robert from YES
➢ Will send email this week with details
➢ Intergroup Delegate’s Meeting on Saturday, Dec. 10, will attend with Tiffany

GRAPHICS – Corey
➢ Dance flyer was in fact awesome
➢ Will begin working on a bid flyer as soon as its ready
➢ If the space at Jan Hus is available, will work on another dance flyer

LITERATURE – Rakhel
➢ Young People’s book is done
➢ Maintaining contact with Robin, the Grapevine editor
➢ She suggested we submit an article about us in Grapevine or perhaps someone interviews us
➢ Would like to clarify what that entails – interview may be less compelling than stories
➢ Maybe she or someone can attend our writing workshop

OLD BUSINESS
➢ PO Box
o Brian found a PO Box in Tribeca (on Church St)
o It’s flexible with names and $200/year
o It doesn’t have lots of weekend hours
o Ideally it would be closer to the VA Hospital and open on Sundays
o We’ll keep looking

o Phil has been acting as our host, and is happy to continue to do so
o Since March 21, 2005 we owe him $40/year + a $6 activation fee.
o MOTION: Pay Phil $86 for website until Mar. 21, 2007.

o Forum
➢ We wanted our own but at the last SENY meeting, SENY wanted to try it
➢ Asked them if we could participate in their own and they did it right away
➢ Daniel will email address and we should begin using it IMMEDIATELY!

NEW BUSINESS
➢ Non-ICYPAA related Archives
o We need stuff to open it up

o Trying to contact Marie to get us on a “young people” institutions list

➢ Maryland Dance
o How to outreach this dance
o Send another email?
o 3 people definitely attending, 2 tentative

➢ NECYPAA
o Missing from our ICYPAA bid was outreaching at other conventions
o We could put the flyer on our website

➢ WRITING WORKSHOP
o If Susan/Robin can’t attend, maybe invite the incoming alternate delegate
o MOTION: $30 to Rakhel for refreshments

o Have a table at NECYPAA
o Start building momentum
• Hotel relationships
• Concepts for Bid Book – will get others as reference point
• Work on our presentation ASAP – maybe we can use the SENY forum to discuss

➢ NERF / NERAASA
o Young People’s roundtable
o Manhattan bus to NERF (PA) the last weekend in February
o NERAASA (MD) in June
o Like the New York State Informational Workshop

➢ PI
o Rakhel’s school
o How do we do that as NYCYPAA
o Forms filled out, will submit to Intergroup PI Committee on Saturday and ask about specific placement with high schools or colleges
o Is Intergroup willing for NYCYPAA to do this?
