NYCYPAA Minutes
09/17/2006: 4-6pm
I. Opened with the Serenity Prayer.
II. Introductions/Roll Call

A) Secretary
-Minutes from 9/10/06 read and accepted.
B) Treasurer
-We currently have $_____ in the treasury.
-Still have outstanding debts from Jared and Teresa
-There is no change from last week
-$50 for fliers
-Hasn’t paid rent yet
-Darren talks about what needs to be done for selling tickets for dance

-Saturday Oct 28th planning Halloween masquerade ball
-Janusz decorating

-Vivianna working with space
-Meeting with one speaker from NYCYPAA, with three other cities
-Dance from 10:30-1:30 am
-1:30-2:30 cleanup
-Fliers have been posted
-Funny, unique elaborate costume contest
-Next Sunday 3-4pm planning meeting, and every Sunday until dance except Sunday, October 15th
E) Outreach
-Apologizes to group for absences, glad to be back
-Jared is going to be making NYCYPAA materials, cut outs and posters etc, but thinking about creating materials for different meetings.
-By next meeting, Jared is going to have spreadsheet and stuff to be displayed and distributed at meetings; we will each have meetings to go to
-Conjunction with other committees, talking to Boston, Connecticut, Detroit, upstate New York
-Jared puts emphasis on how important joint events
-Discussion of where we announce our existence and events
-Discussion of how we announce our events and meetings
-Question of having a “what’s your homegroup?” poster
-Discussion of mass distribution of flyers
YPAA Laison-
Daniel is going to contact various committees once we get a space
South Jersey is having a dance the same night we are

-Brianna got computer fixed
-Worked on database
-Wants to discuss color base
-Wants to organize minutes, make separate tabs

-Halloween dance fliers in the works, should be done in the next few days
-Tickets should be printed
-We still have 1/3 of total business cards left, suggested we order more after dance
-Thanks Daniel for doing last flier
I) Intergroup Representative
-Quarterly meeting was held
-Nov 11th Bill W. Dinner dance was mostly discussed
-If NYCYPAA members want to go, Never Had A Legal Drink has a table
-Phone commitment was success
-October 14th next phones, to be held at Dustina’s
-Sober News=Intergroup’s bi monthly newsletter that discusses service work and experiences, Vivianna suggests we consider publishing something for it, possibly about our Riker’s commitment
J) Literature
-Nothing new to report
-Workshop session on 10/15
-Rakhel discusses what we’re doing with writing workshop
-Suggestion of opening workshop up to all aa related writing

A. Service event with District 601 in works

C. Bylaws change-
-Three options for elections:
A) Held on first Sunday in October
B) Held on first Sunday in November, with terms beginning on January 1st
C) Held annually on 2nd regularly scheduled business meeting following ICYPAA
Support of version B
Support of A, definite not support of C
Discussion of version A versus B, how it’s mirrored in general service
Version B is seconded
Question of chair person elected if we are awarded the conference
Discussion of ICYPAA elections that are required to be held one month after conference is awarded
Motion to change bylaws to B

b. Brianna asks about blurb, minutes
c. Brianna looked at other YPAA websites, wants to talk to Cory about color and design for website
d. G.S.O. asked our area to design forum for special needs (that isn’t public)
i. Jared in favor of forum, question of anonymity break
ii. Software for forums that is free, bulletin board costs money but each bulletin has topic, we would have discussion board that involves register. Discussion tabled until New Business

VII. New Business
A. We were sent a contract
Lawyer helped us with tax information for bid requirements
We have to sign letter of engagement-saying this firm aren’t our lawyers
Janusz suggests Daniel and Laura go over letter with lawyer
Daniel expresses concerns he has after reading letter, especially relating to the traditions
Darren points out that the point of this bidding requirement is that we have full knowledge of NY state tax laws
Shelley (a law student) is going to read the letter and get back to us
Discussion that we didn’t expect this situation
Janusz points out that he did this for free and needs us to sign it
Discussion of what we should do in future and responsibility of individual NYCYPAA members-discussion of future transactions
We can’t get ourselves out of this just by signing the paper
Concern of getting into legal relationship with outside entity
Discussion that any move NYCYPAA makes, financially/contract etc. should be approved by the committee
Suggestion that the lawyer comes to our committee meeting and we can discuss this with him as a committee
-Janusz spoke with Cookie about NYSCYPAA past problems with hotel
Cookie suggests we have past delegates advise NYCYPAA members, almost like service sponsors for the committee, to facilitate communication with past delegates
Discussion that we need to do this anyway
Discussion of alternate delegate being our liaison, send minutes to him
Should we bring this up at District Committee meeting?
Discussion of history of NY YPAA
Interesting to involve past delegates that is further integrating ourselves in area, suggestion of area stepping in
Must be clear that they have no real power of oversight
