NYCYPAA Minutes

5/7/06: 4-6pm

•  Opened with the Serenity Prayer and reading of the Traditions.

•  Introductions/Roll Call

-Attendance: Laura, Daniel, Lauren, Teresa, Janusz, Erik, Jared, Mandi, Rakhel, Brianna, Daniel, Joanne, Cory.

-Catya, Darren, Jason, and Ashley are absent with notice.

-Eugene, Hodet, and Laura Leigh are absent without notice.

•  Reports

•  Secretary

-Minutes from 4/2 unavailable.

•  Treasurer

-$967.77 after rent was paid.

-Still needs to collect 7 th Tradition from Bid Committee.

-Request from Hodet for money to buy Stickers: will try to keep below $20, if higher she will come back to the committee for approval.

-Did research on getting a bank account.

-Suggestions that we wait until we have a P.O. Box and Not-for-Profit status before opening an account.

•  Bylaws

-Absent with notice.

•  Events

-Dodgeball Tournament 5/13.

-Teresa has tickets to sell.

-A Pre-ICYPAA dance is in the works as well.

•  Outreach

-Jared has been Outreaching the Dodgeball Tournament with the Events Committee.

•  Web

-Brianna still needs to meet with Phil to learn how to use the software.

-Web page is out of date & needs to be updated ASAP.

-Minutes & email addresses.

•  Literature

-Trying to add meetings in other boroughs to our YP meeting list.

•    SENY Liaison

-Went to the Pre-Conference Assembly.

-Went to the Sponsorship Workshop hosted by Manhattan County.

-Brought back information.

•    Intergroup Representative

-Nothing new to report.

-Attended the area forum and picked up flyers.

-NYCYPAA will answer phones for Intergroup @ Brianna's apartment this Saturday from 10pm-2am.

-Janusz found someone to take over organizing the Riker's commitment & will send all the info to Mandi.

•  Graphics

-Dodgeball flyer needs to be distributed.

•  Bid Package Chair

-Bid Committee has received a contract proposal from the Brooklyn Marriot and only needs one more to fill bid requirements for hotels.

-Ashley is looking into the Circle-Line cruise for a Pre-Conference event.

-AA “The Musical” will not be an option for a Pre-Conference event.

-There is a Tab for the Bid Committee on the NYCYPAA website.

-Hodet would like to see it “dressed up.”

•  Prayer Chair

-Joanne needs to resign from her position as Prayer Chair.

• 7 th Tradition: $10.57 + $4.00 from Bid Committee = $14.57

•  Outreach Break

-We need to be Outreaching NYCYPAA in general.

-We can do this not only through announcements at meetings, but by going up to people individually and talking about NYCYPAA's accomplishments.

• Old Business

A.   New-comer Packets.

-Packet still needs some editing.

-Janusz volunteers.

-Everyone who has suggestions should contact Janusz within the next few days so the packet can be completely edited and finalized for acceptance at the next NYCYPAA meeting.

B.   Election of Vacant Positions

-Postponed until we have new people to fill the positions.

-We should outreach the vacant positions.

-Prayer Chair, Co-Secretary, Co-Treasurer, Co-Bylaws, Co-SENY Rep, Co-Intergroup, Co-Graphics, Co-Literature, & Co-Prayer Chair.

C.   Phones Commitment: How committed are we?

-Discussion of rewarding experiences NYCYPAA members have had while answering phones during this commitment.   We will hopefully have higher attendance this Saturday.

D.   Table at the Bill W. Dinner Dance

-Mandi will bring this up later if she finds 5 people to make the deposit.

E.   Darren's Ad-Hoc Committee

-Has not met yet.

F.   P.O. Box/Not-for-Profit Status/Bank Account

-Discussion postponed until Bylaws Chair, Treasurer & Secretary are present.

 

G.   NYSIW

-Discussion postponed.

H.   Business Cards

-Cory brings back 3 rd and hopefully last round of potential business cards.

-He will bring back a decision for the next meeting.

•  New Business

A.   5th Sunday Fellowship

-Concern that no-one shows up & that we might be better off having a NYCYPAA meeting to make up for times we miss due to holidays.

-There is discussion pro and con getting rid of 5 th Sunday Fellowship.

-Committee values time for fellowship and decides that we will reserve the 5 th Sunday for fellowship.

-When holidays conflict with NYCYPAA meetings, we can postpone a meeting to the second or fourth Sunday instead of canceling altogether.

B.   Absences: 3 in a row with warnings from the Chair.

-Daniel makes a MOTION to vote whether each person should be relieved of their service position individually.

            - VOTE: 9-0-2 — PASS

-Eugene: Co-Graphics

            - MOTION: Eugene should forfeit his position.

            - VOTE: 11-0-1 PASS

-Laura Leigh: Co-Prayer Chair

            - MOTION: Laura Leigh should forfeit her position.

             - VOTE: 10-0-2 PASS

-Hodet: Bid Package Chair

            - MOTION: Hodet should forfeit her position.

             - VOTE: 0-10-3 FAIL

C.   Teresa makes a MOTION that she be given a budget of $225 for equipment, refreshments, and one ICYPAA registration for the Dodgeball Tournament.

      - VOTE: 10-1-1 PASS

D.   Jared opens discussion on whether or not we could use Myspace.com as a tool for Outreach.

      -Controversy over 11 th Tradition specifications.

      -Some people think it's a great idea, while others are very much opposed.

-Chair postpones discussion until next NYCYPAA meeting since it is not a pressing matter.

E.   Bid Committee.

-Viviana needs a proxy for the next two weeks.

-Daniel will proxy on May 14.

-Brianna will proxy on May 28.

-Stickers

-Hodet believes she will need $30 for the stickers.

-Daniel makes a MOTION that we give Hodet $30 for stickers.

- VOTE: 12-0-1 PASS

-Attendance @ Bid Committee Meetings

-Needs support.

-Even Chairs on the sub-committee are not showing up consistently.

-It is suggested that the Bid Committee Outreach its meetings using email and announcements.

-Hodet, our Bid Package Chair, does not have finances to attend ICYPAA.

-Discussion tabled.
