Minutes - March 19th, 2006

NYCYPAA Minutes
3/19/06: 4-6pm


I. Opened with the Serenity Prayer.

II. Introductions/Roll Call
-Attendance: Laura, Ashley, Mandi, Corinne, Catya, Teresa, Matt, Tim, Janusz, Darren, Jared, Daniel, Jason
-Absent with notice: Hodet, Erik, Eugene, Rakhel, Laura-Leigh
-Absent without notice: Briana, Joanne

III. Reports

A) Secretary
-Minutes from 3/5/06 and 2/19/06 read and accepted.

B) Treasurer
-We currently have $388.20 in the treasury.
- Received money from past treasurer.
-$33.50 in rent stash
-$250 in reserve for dance
-After rent and dance we will have $104.70 plus today’s 7th tradition


C) Bylaws
-Jason is working on getting NYCYPAA the tax exempt number
-Jason has new business

D) Events
- Dance is happening.
- Teresa has events related motions in new business.
- Request for events e-mail.
- Janusz must withdraw from service position. He is happy to help with any service.

E) Outreach
- NYCYPAA was present in “full force” at Manhattan Share-a-day. Outreach is going for the dance. The dance is great way to outreach NYCYPAA to people from out of state coming to dance.
- The young people’s meeting list only has Manhattan meetings. We need to expand the list to all five boroughs.
- The SENY Convention is another opportunity to outreach NYCYPAA and also make contacts with people and committees from other areas.

G) SENY Liaison
- Erik is going to all the assemblies.
-Right now SENY is in the General Service Conference process
-The SENY convention is coming up, and is expected to have 12-1300 people.
-Erik got volunteers to man a table at Share-a-day

H) Graphics
- Cory made a few different business cards with the mission statement, with NYCYPAA logo and when we meet.
- The dance flier was edited. Tickets printed. General flier for bid committee printed.
- There is a question of the cost of printing the business cards. Jason has a place in Brooklyn to print the cards cheap. Cory is asked to bring back more proposals. We will vote next time.

I) Intergroup Representative
- Mandi has a lot of fliers. Bill W. Dinner dance. Need people to answer phones. There is a corrections committee dinner and dance. There is a Big Meeting committee. Fliers for sober news. There are 75 meetings at corrections or institutions that don’t have chairs.
There is a Manhattan Area Forum.

K) Bid Package Report
- Hodet has been in touch with the ICYPAA host committee and 2 advisory council members.
- Subcommittees talked about researching hotels. Bid meetings held on the 2nd and 4th Sundays
- Website tab should be complete soon
- There is a contest for a room at ICYPAA, whatever committee sends in the most registrations for ICYPAA wins.
- Bid committee flier
- There will be a table at dance
- Need help with outreach
- Need to expand outside Manhattan

A. Dance-
Jan Hus is set and partially paid for
We have decorations
There is a question of the money
NYIWS- Delegate e-mailed 3 other delegates about Young people’s panel, to have people with us on panel. Get contact information from people all over New York.
Ashley has offered list of intergroups all over.

Jason points out any transaction under $20 is at the discression of the treasurer.
Spriituality in money.
Asks for more of a channel through treasury
Darron wants to log of flow of incoming and outgoing
? of do we need NYCYPAA to approve budget

MOTION: Allow an additional $250 in expenses.
Discussion- we don’t have $250 in expenses. Darron points out that we have $60. He hasn’t seen the money.
Events chair responsibility to coordinate with treasurer
Janusz signed contract and gave the $250 he raised in ticket sales to Jan Hus to secure space.
Questions of whether or not we are allowed to sign contracts
Bylaws say that chairperson should have signed contract
Janusz sold 32 tickets and had $250
Darron doesn’t see things add up
Daniel Withdraws motion
Common sense is suggested that whatever money is sold in ticket sales should be used for dance expenses.
Jared would like to see all future transactions go through the treasurer
Question of how we deal with approved money for events

Bid package sub-committee relations-
Eventually the bid committee will get a convention. We learned from TRICYPAA that the committee split. We set ourselves up as a service committee that also bids. Conventions have requirements. One principle requirement is that the bid committee disbands and then reform into host committee.d,
Question of how to set up after we win a bid and then continue with a more enduring committee.
How do we have both things not get lost in convention.
Should our subcommittee win a bid, NYCYPAA would disband, keep our commitments, and form one large host committee.

MOTION- Create temporary on the implications of a winning a bid to report back to NYCYPAA. Darron to chair

Motion to accept Ashley as Co-Events by acclimation

VII. New Business
A. Events-
Motion: Annual scavenger hunt
Dodgeball tournament
Lock in with all night meetings, battle of the bands, all night dancing, board games etc.
Coney Island day

Idea is that we can start on specific events now (after approval)
Events chair call sub committee meeting- suggestion

?’s of date and funding (which have given us the most problems)

B. The Bill W. Dinner dance table lottery. Mandi suggests we get a table and could have mini-event to raise funds so people could pay less.
