NYCYPAA Minutes
4/2/06: 4-6pm


I. Opened with the Serenity Prayer.

II. Introductions/Roll Call
-Attendance: Teresa, Jared, Laura, Catya, Briana, Lauren, Ashley, Rakhel, Daniel, Jason, Daniel, Mandi, Cory, Janusz
-Absent with notice: Erik, Eugene, Hodet,
-Absent without notice: Joanne, Laura-Leigh

III. Reports

A) Secretary
-Minutes from ____ read and accepted.

B) Treasurer
-Total attendees 151
-We currently have $1,016.27 in the treasury.
-We made $559 from dance after expenses
-$48.50 for rent
-Dance expenses
-94 paid $10
-45 people showed up with pre-sale tickets at $8
-Used 2 of scholarships
-10 people gave suggested donation less than 10
-8 paid $5, 1 paid $4, 1 paid $3
-$12 donation was received
-Didn’t keep super accurate numbers, we have learned to be more careful next time
-Spent $150 on refreshments
-$150 in decorations
-EACYPAA got $559 after deposits

C) Bylaws
-Not much to report. Jason got federal tax number so we can get a bank account.

D) Events
-In process of organizing events
-Dodgeball tournament
-Trying to plan 4th of July rooftop party
-Pre-ICYPAA dance
-Dance with EACYPAA was awesome

E) Outreach
-Had nice presence at SENY convention. Connected with people outside Manhattan area
-Waiting for new events to start outreaching

F) Web
-Meeting with Phil between the 7th and 24th to learn about software
-Adding color to website and making site “hip and young”
-Updating meeting list
-ICYPAA tab put up

G) SENY Liaison
-Erik worked at SENY convention
-In charge of greeting
-SENY convention was “good stuff”
-Erik is planning on going to the pre-conference assembly this Saturday

H) Graphics
-Based on suggestions at last meeting, Cory brought sample business cards
-

I) Intergroup Representative
-Nothing to report
-

J) Literature
-Worked on Young People’s meeting list for SENY convention
-Going to talk to people about adding young people’s meetings from outside Manhattan for YP meeting list
-Open for suggestions

K) Bid Package Report
-Nothing to report
-Bid committee is suffering with attendance
-Laura encourages NYCYPAA members to attend Bid Committee meeting

-Examined Cory’s business card suggestions
-There is a question of cost for business cards
-Its going to be cheap to do this, cheaper in black and white
-Discussion of which of Cory’s suggestions we should use
-Jared wants to see more choices
-Cory asks for people’s suggestions

C. Elections
-Motion- Wave time 1 yr requirement for Lauren
Motion passed
-It was mentioned that Lauren should chose a position before we vote to wave the time requirement
Motion to accept Lauren for co-outreach by acclimation
PASSED unanimously

Daniel is interested in web-chair
Cory volunteers to teach Daniel HTML
MOTION- To accept Daniel by acclimation as co-web chair
Unanimous

D. Discussion of table lottery for Bill W. dinner dance
We would have to put down half the money if we wanted to have a table
We could hold a fundraising event for ticket money
Table is 10 people at $100/ticket
Question of who we are raising money for, Laura is not comfortable with raising money for NYCYPAA members to go
Several members uncomfortable with NYCYPAA paying for tickets
Suggestion of raffle ticket
Six people present are willing to buy a ticket
Mandi will ask members of the bid committee
Discussion TABLED

E. Ad-hock committee-
Darren has been discussing with various members of EACYPAA and ICYPAA advisory councils

VII. New Business
A. –Janusz has to give up Riker’s Island commitment (organizing chairs for once a week at Riker’s Island)
-Janusz explain what this commitment entails
-Janusz will keep position on until someone fills this position
-Question of NYCYPAA’s involvement and whether or not the Intergroup representative is responsible
-Discussion of Ryan, one of the NYCYPAA institutions liaisons attendance and other various institutions commitments

Motion- This position should be outreached as a position that needs to be filled. Motion not seconded
? of what are we announcing, what are we asking people to do
This is an intergroup sub-committee
Discussion of finding someone to fill this position, discussion of intergroup co-chair to be responsible for this commitment
Needs to be male
Mandi will make announcement to find someone temporarily

B. Sunday, April 16th is Easter
-Motion- To cancel meeting
-11-0-3

C. We can afford to have a P.O. Box
-Catya’s job to get P.O. Box
-Question of where to have P.O. Box- suggested in VA hospital area.
-Closest Post office 25th and Lexington
-Catya will check it out and bring back
D. Events
Motion to throw dodgeball tournament on Saturday May, 13

1:30-4 tournament
At St. Columba’s Church 25th between 8th and 9th
For donation
$3 in advance
$5 at door
1/3 goes to space, 1/3 goes to NYCYPAA, 1/3 goes to raffle

May 13th is post-conference assembly, suggested that we go with event anyway
